We are seeking an Branch Administrator to join our Highland, IN team! Come join us!
Job responsibilities include but are not limited to:
Provide administrative support for branch including invoicing, AP, AR, vendor and subcontractor approval, insurance certs, BST support for project administration, and other general project support as required.
Monitor and recognizing revenue and profitability on project related work.
Data entry and data entry supervision of vendor invoices, daily field staff production, new vendor and client set ups, miscellaneous cost entries.
Project Maintenance including setting up, invoicing, confirming budgets and contract adherence, maintaining accounting files.
Review/report status of accounts receivables and status of unbilled invoicing.
Willingness to work cooperatively with and assist professional and field staff to support daily needs.
Composing correspondence to assist Branch and Division Managers and provide informational notices to branch employees. Assist Project Managers with client requirements as requested.
Compile basic/routine financial reports for Management Team.
Address routine inquiries, and support daily office functions.
Work with Corporate HR department to ensure policies and procedures are followed. Assist in the new hire onboarding and termination processes. Maintain and update safety training system with current employee data.
Manage sensitive business communications, data, and other information with professionalism, confidentiality, and discretion, both internally with employees and externally.
Manage purchasing for office, project, and safety supplies.
Provide accounting support to include filing, copying, data entry and spreadsheet maintenance.
Marketing support, special projects and other tasks as required.
Minimum Requirements:
Bachelor's Degree preferred, preferably in accounting or related field.
3 or more years' professional experience preferred.
Any other degree is acceptable or 5 years of business administration experience.
Knowledge of consulting business, and experience with financial accounting systems preferred.
Deltek accounting system experience a positive.
Ability to maintain confidentiality.
Ability to work independently as well as collaboratively.
Exceptional organizational and multi-tasking skills
Good reasoning, mathematical, organizational, and customer service skills
Technical Requirements:
Individual must be well organized and able to manage multiple activities in a fast-paced consulting environment and work well with others.
Working knowledge of MS Word, Excel & Outlook is required.
Experience working with BST Financial System a plus.
Experience working in AutoCAD a plus.
Must be MS Office proficient, possess excellent communications and interpersonal Skills, and be able to work effectively with minimum supervision.
Other miscellaneous qualities:
Ability to travel (rarely), and less than 10% of the time.
The work is in office, not remote. Any remote work would be limited and would require approval of management team.
Position could be flex or part-time.
Proficient general office skills.
General office experience preferred.
Excellent customer service skills required.
Strong verbal and written communication skills required.
